We are delighted that you are considering celebrating your event at Saarjärve Puhkemaja. Our goal is to create a memorable and special experience for you, while also being open and honest about our possibilities and limitations.

Located in the Kuulma Lake landscape protection area, surrounded by pristine nature, and having gathered valuable experience from past events, we have prepared an overview of the terms and possibilities for reserving our holiday complex. We want your visit to be smooth and enjoyable, which is why we are also sharing our expectations with you—so that together we can create a successful and unforgettable event.

Rental terms and options for the period 01.01 – 31.12.2025.

HOLIDAY COMPLEX CAPACITY during the autumn-winter period – 28 people

The entire Saarjärve Holiday Complex can accommodate up to 28 people during the autumn-winter period and up to 30 guests during the spring-summer period.

PETS

Pets are NOT ALLOWED inside the Saarjärve Holiday Complex premises. Any animals on the property must be kept on a leash, and pet owners are responsible for cleaning up after their pets.

CHECK-IN AND CHECK-OUT TIME

The rental period for the entire holiday complex is from 15:00 until 12:00 the next day, including accommodation.
NB! This timeframe must also include all preparation time.
If you rent the Main House with a private complex area and bring your own food and drinks, the accommodation rental period is from 15:00 until 11:00 the next day!
For an additional fee, it is possible to arrive earlier for event preparations. Please inform us in advance and make a separate agreement with us. This option is available only if there was no event at our venue the previous day.
Early arrival for preparations is available only for an extra charge of €100 per hour.
Each additional hour of early arrival or late departure costs €100.
Check-in time for accommodation is 15:00, and check-out time is 12:00.
Please also inform your guests that arriving earlier than scheduled may impact the quality of service provided, as our team may not have completed all planned preparations.
We do not store alcohol or food delivered a day in advance, nor do we keep them in our refrigerators. If you wish to have chilled drinks upon arrival, you can pre-order them from us.

QUIET HOURS AND CONSIDERATION FOR OTHERS

Since the greatest value of our holiday home is the pristine nature and exclusive, breathtaking silence surrounding us…

…as of 01.09.2023, loud music is not allowed on the holiday complex premises, and personal sound amplification systems are also prohibited.

Please do not play music outside the indoor areas of the holiday home, as we have neighbors, and sound carries very far over the lake.

We have a built-in sound system in the Main House that allows music from Spotify to be played in the 1st-floor dining hall, outdoor terrace, and 2nd-floor hall.
In the Small Holiday House, we provide a Marshall Acton II Bluetooth speaker, which is ideal for background music.

If you wish to host a party at our holiday complex, you must rent the Main House with a private complex area, and party music may only be played in the 1st- or 2nd-floor hall of the Main House. However, you must still comply with the Public Order Act of the Republic of Estonia, §3, which defines quiet hours as follows:

From September 1 to May 31: 23:00 – 07:00
From June 1 to August 31: 24:00 – 06:00

A violation of quiet hours means disturbing others through sound, light, mechanical, electronic, or other means. Personal sound systems and speakers are not allowed at Saarjärve Holiday Complex, and music should not be played outside the holiday house.

If this rule is violated, a fine of €500 will be applied, along with the cost of a security firm’s call-out fee and any possible legal fees imposed by law enforcement.

FURNITURE ARRANGEMENT

If catering is ordered through Saarjärve Holiday Complex, we will set up and arrange the tables according to your agreed layout, cover them, and return them to their original places afterward.

However, if you provide your own catering, please ensure that all rearranged furniture is returned to its original place before departure.

Failure to do so will result in a furniture rearrangement service fee of €200, which will be added to your final invoice.

ADDITIONAL SERVICES

The following additional services can be ordered from us:

Projector and screen rental: €25 per day.
The projector located in the seminar room is included in the seminar room rental price. If you wish to use the projector in other rooms along with a screen, an additional fee of €25 applies.
Bar service: €37 + VAT per hour, using our provided beverages. The drink menu will be agreed upon in advance, and cocktail prices will be based on this menu, starting from €3.20 + VAT.
SUP board rental (Stand-up Paddleboards): €16 per hour for 1 board (€33 per day for 1 board). We have a total of 10 boards. If you rent the Main House with a private complex area, SUP board rental is included in the price.
SUP instructor service: If you wish to have an instructor accompany you during the rental period, the cost is €50 per hour.
Hot tub rental: From €90 for up to 5 hours (winter price €100). Additional hot tub heating on the 2nd day costs €30.
Tablecloth rental: €7 per piece (white tablecloths 140 x 210 cm).
Bathrobe rental: €5 per piece.

Other service providers cannot offer the same services as Saarjärve Holiday Complex.

Services ordered from external providers and related details must be coordinated in advance with Saarjärve Holiday Complex. For such services, the service provider is obligated to perform all necessary post-event cleaning and other follow-up tasks, including waste handling.

FIRE SAFETY, OPEN FLAMES, AND CANDLES

The client is obligated to ensure compliance with fire safety regulations throughout the rental period.

Smoking is prohibited inside the Saarjärve Holiday Complex, on the terraces, and balconies of the holiday houses!
(Saarjärve Holiday Complex is classified as a building with enhanced fire safety due to its wooden construction.)
The holiday houses are equipped with an automatic fire alarm system (ATS), and all rooms are fitted with smoke and temperature sensors. In case of an alarm, the signal is directly transmitted to the G4S control center. (The client is responsible for the cost of false alarms and calls.)
A designated smoking area is provided near the lake terrace for smoking on the property.
Please do not throw cigarette butts in the yard. Dispose of them in the designated ashtrays.
A cleaning fee of €200 will be charged for collecting cigarette butts and/or tobacco waste from the property.
Candles should only be burned in designated lanterns. Large outdoor candles must be placed on non-flammable surfaces.
Please do not place outdoor candles on wooden terraces!
In case of discovering a fire, please immediately call the emergency services at 112 and inform the holiday home owner.

Grilling

The sauna house grill is installed on a separate stone base, and grilling should only take place in this location. Please use only charcoal for grilling, NOT firewood.
The Main House grill is located by the lake terrace, and it should not be moved to other terraces. Please use only charcoal for grilling, NOT firewood.
Campfires at the campfire spot near the glamping tent are allowed only with prior agreement (and depending on weather conditions). Please do not use firewood for the campfire, but instead gather branches from the forest.

Saarjärve Holiday Complex requests a responsible attitude from all guests and expects that all guests using the services of the holiday complex are in good health and do not pose a risk to other visitors or staff.

PAYMENT AND BOOKING TERMS

A booking is confirmed with a 50% booking fee or a corresponding guarantee letter (only for state-owned companies).
The 50% booking fee is non-refundable and will be used to cover service charges.
Two weeks (14 days) before the event, the final number of participants should be submitted, and the second installment must be paid 1 week before the event or after the event (for state-owned companies).
The number of people and catering cannot be reduced later than 7 days before the event starts.
The final event order (schedule, menu selection, number of people, additional services, open bar request, etc.) must be submitted no later than 2 weeks (14 days) before the event.
The prices quoted in the offer may change due to national tax rate changes (e.g., alcohol excise tax, VAT changes, etc.).
NB! From 01.07.2025, the VAT rate in Estonia will change to 24%. Invoices issued after 01.07.2025 will include an additional 2% VAT on the previously received offer prices.
When renting the holiday home and sauna house without our staff presence, a security deposit of €200 will be charged, which should be transferred to our account by the event start date. This deposit will be refunded within 3 days after the event.

CANCELLATION POLICY AND SPECIAL CIRCUMSTANCES

If the event has been paid in full, but a state of emergency is declared that prohibits the event from taking place, we will, if possible and suitable, offer the client to postpone the event or, if preferred, offer other services provided by Saarjärve Holiday Complex in the amount of the paid advance.

If the event is canceled due to a state of emergency, the client has the right to request a 90% refund of the paid booking fee. Refunds will be made according to a payment schedule. The 10% booking fee is non-refundable and will be used to cover service charges.

CATERING AND BRINGING YOUR OWN FOOD AND ALCOHOL

At Saarjärve Holiday Complex, we provide catering and beverages for groups. Exceptions are possible only with prior agreement and under agreed conditions (an additional fee applies).

Please note that…

If you bring your own catering/caterer, please ensure that the caterer also takes care of table setting, arrangement, decoration, and post-event cleaning.
The post-event cleaning must be completed by 11:00 AM the following day.
If you bring your own catering, we do not provide breakfast service for our guests.
If you order catering from us, we will also offer appropriate beverages to go along with it. If you bring your own beverages, a serving fee per person will apply for each day of the event (price listed in the offer), which will be calculated for all guests.

Saarjärve Holiday Complex also has a self-service fridge stocked with a selection of wines, cider, beer, craft beer, and spirits. The key to the self-service fridge will be provided to the event organizer, and payment for consumed beverages will be made after the event.

We also offer a bar service with a quality selection of alcohol and a trained bartender.

Bartender service: €37 + VAT per hour.
Cocktail price: starting from €3.20 + VAT.

The cocktail menu will be agreed upon in advance with the client. We cooperate with all major alcohol distributors, so we can offer you alcoholic beverages at very reasonable prices.

FINES FOR BREACHING AGREEMENTS

In case of damage to inventory, the client must pay for the replacement cost of the item + an additional 15% of the cost to cover transportation and administrative fees.

The fine for losing a room/sauna key is €20 per key.
The main house and sauna house of Saarjärve Holiday Complex must be returned in the same condition in which it was handed over to the client.
- This means that dishes should be washed (placed in the dishwasher), tables and surfaces should be cleaned (no trash or used/dirty dishes), and there should be no trash or cigarette butts on the floors or outdoor areas.
If this condition is not met, Saarjärve Holiday Complex reserves the right to charge a cleaning fee of €200, which will be deducted from the security deposit.
Cigarette butts and tobacco pads cleaning from the yard: €200.
Vomit fine (or cleaning of other bodily fluids from non-designated areas): starting from €200 (depends on required cleaning techniques).

Other Organizational Matters

In the holiday homes, indoor shoes must be worn!
If you choose not to adhere to this rule, a €300 cleaning fine will be added to your final bill. Please pass this information on to all your guests, including performers and trainers.
We are located in the forest, and no paved concrete roads lead to us.

ENVIRONMENT AND SUSTAINABLE TOURISM – WASTE SORTING

We have started the process of applying for the Green Key certification, and environmental protection, as well as the development of sustainable and responsible tourism, are very important to us. Our location in the pristine nature of the Kuulma Lake naturalreserve makes these requirements even more significant.

It is important for us that our holiday complex produces minimal waste and is free of single-use plastic items. We sort waste at Saarjärve Holiday Complex, and we kindly ask you to also sort the following waste separately (instructions are available at the complex and on the property):

Paper and cardboard
Glass (glass can be sorted into returnable packaging and regular glass bottles, which are placed into separate containers)
Plastic packaging and cardboard
Plastic bottles and aluminum cans

Waste sorting is mandatory in Estonia!

A fine of €200 will be added to your final bill if waste sorting is not followed.

We also kindly ask that you refrain from using plastic straws, plastic containers, and plastic cups.

At Saarjärve Holiday Complex, we provide reusable drink cups, which can be used for events held at our venue. These cups can be washed in the dishwasher, and guests can write their names on them or mark them. Please inform your guests that these reusable cups and glasses should not be thrown away, as they can be reused.
